Program Associate, Technical Leadership Unit At Internews Network


ABOUT THE OPPORTUNITY

The Program Associate is an administrative support position in the TLU (Technical Leadership Unit), a unit that drive sinter-departmental collaboration around technical expertise, organizational learning and knowledge management within Internews. The TLU is responsible for providing expertise to our projects around the world, in health and environmental journalism, technology, media business and sustainability, gender, even film making. The TLU works to collate and document Internews best practice and find ways to disseminate it through a highly decentralized organization.

This position reports to the Budget & Finance Manager of the Technical Leadership Unit and works with a distributed team with colleagues based in Washington, DC and other locations.

This position currently provides support to a number of thematic and technical teams, including:

  • our new Technology, Media & Democracy team, which focuses on areas including safe access to information, technology, disinformation, the financial viability of independent news media around the world and platform accountability;
  • our Impact and Learning team which includes research, Monitoring & Evaluation, development of methodologies and learning products, and the Hive (Internews’ Intranet).

LOGISTICS

This is a remote-based positions.

All remote candidates will be considered. However, you must have work authorization in your location that does not require sponsorship from Internews. Additionally, there are locations in which Internews is not able to support fully remote work.

Wherever possible, we work to try to find solutions for international hiring that work for both the company and the candidate. This means that some of the particulars around the offer for a role will be dependent on several factors, and that the benefits and salary structure that apply to a position will ultimately be based upon the candidate’s location and where the role is hired.

DAY-TO-DAY TASKS will include:

  • Provide administrative support to ensure that program implementation complies with funder requirements and Internews’ policies and procedures;
  • Ensure the smooth processing of contracting and payment requests and financial compliance, communicating regularly with the TLU Budget and Finance Manager and headquarters’ Accounting and Administration teams;
  • Prepare invoices, wire transfer requests, expense reimbursements and reconcile credit card on a monthly basis;
  • Support procurement for TLU staff needs;
  • Compile forms and documentation related to subgrants, including payment and reports;
  • Coordinate travel logistics (if travel situation changes), assist with visa applications, and arrange accommodations for various TLU team members;
  • Arrange virtual meetings, including organizing meetings, webinars, and other events across time zones with international partners and fellow colleagues, and documentation of meetings;
  • Draft communication materials for teams as needed, such as social media content, two-pagers, presentation decks, positioning papers, etc. Develop and maintain up-to-date briefing and PR materials for projects;
  • Compile and write monthly updates and reports about the department for sharing internally with Internews staff;
  • Build, champion and maintain department-related webpages on our internal knowledge-sharing platform, the Hive (using SharePoint and web content management systems);
  • Support proposal development for new projects, including research, copy-editing, and supporting the development of draft budgets;
  • Provide copy-editing and review of reports as requested; and
  • In all duties, an understanding of and demonstrated commitment to upholding Internews’ Core Values.

QUALIFICATIONS WE’RE LOOKING FOR

Required

  • One year prior experience in international development or non-profit sector (including field experience) OR relevant skills OR a relevant degree
  • Excellent written and oral communication skills
  • Excellent organizational skills and attention to detail
  • Proven ability to balance and effectively prioritize multiple assignments and deadlines
  • Show sensitivity and understanding for diverse perspectives in a multicultural environment
  • Proactive willingness to communicate any challenges you’re facing to your supervisor and ask for help
  • The ability to manage technical systems and build web content
  • Professional-level fluency in English
  • Optimism, a sense of humor, and excitement at supporting and elevating voices of people across the globe.

Preferred

Note: Candidates who do not have these preferred qualifications, but are interested and willing to learn, are encouraged to apply

  • Familiarity with Office 365 tools, including Outlook, Teams, SharePoint
  • Experience in relevant thematic area such as media, social media, disinformation, etc.
  • Experience preparing expense reports and budgets
  • Experience with financial management and familiarity with USAID rules and regulations
